Why people no-show
Almost never malice. Usually one of four things.
- They forgot. Booked three weeks ago, never entered it in a calendar.
- Plans changed and rescheduling felt awkward or hard.
- They booked elsewhere too and went with whoever confirmed first.
- Nothing was at stake. No deposit, no consequence, no relationship yet.
Each has a different fix, and reminders only solve the first one.
The SMS cadence that works
Three messages. Text, not email.

Name, date, window, address, two options, a human’s name, a real number. Nothing else.
Make rescheduling easier than ghosting
This is the counterintuitive one. Most businesses make rescheduling hard because they want the original slot, and the result is a silent no-show instead of a moved appointment.
- Put a reschedule link in every reminder. One tap, self-service.
- Do not require a phone call to move an appointment.
- Say it is fine. “Need a different time? No problem, tap here.”
A moved appointment is a kept customer. A no-show is a lost one plus a wasted slot. Optimise for the first.

Reminders fix forgetting. Only money fixes indifference.

How to introduce it without friction. State it plainly at booking, framed as protection for both sides.
We hold the slot with a card on file. Nothing is charged unless the appointment is missed without 24 hours notice.
Two things that matter. Be explicit about the terms up front, and actually honour them fairly. Charging someone who texted you at 6am about a family emergency will cost you more in reputation than the fee is worth.
Expect some pushback. A small number of people will not book because of the deposit. Most of them were the no-shows.
Confirmation loops
A one-tap confirm gives you information you can act on.
- Confirmed: proceed as normal.
- No response by the morning of: call them. A live call catches most of what the texts missed.
- Reschedule requested: it auto-books, you lose nothing.
- Cancelled with notice: you get the slot back with time to fill it.
Fill the gap. Keep a short waitlist of flexible customers who said they would take a last-minute slot. A cancellation at 8am becomes a booked job by 10.
The automation, in five steps
- Trigger: appointment created in your scheduler or CRM.
- Send: confirmation SMS immediately.
- Wait: until 24 hours before, send reminder with confirm and reschedule links.
- Wait: until 3 hours before, send arrival window with your direct number.
- Flag: any appointment with no confirmation by the morning of, for a live call.
Most booking platforms and CRMs do this natively. If yours does not, an automation tool bridges it.
Measure it or you will not know
Track no-show rate monthly, as a percentage of scheduled appointments.
Then check which stage fails. No response to any message means the number is wrong or they were never serious. Confirmed then absent means something changed and rescheduling was too hard. Repeat offenders should require a deposit going forward.
Turn on the 24-hour reminder this week if you have nothing else. It is one automation and it catches the largest single cause.
