Who I work with · Health

Marketing for dentists.

Dental patients pick from their insurance list, then check reviews and whether they can get in. The practice that answers insurance and availability fastest gets the new patient.

How the work actually comes in

The honest version.

New dental patients usually start with a constraint. They moved, their old dentist retired, or they changed jobs and plans. They check which practices are in network, search the ones nearby, and read reviews. A smaller group starts with a problem, a cracked tooth or a toothache on a Friday, and needs someone today. A third group wants cosmetic work and shops by skill, comfort and financing.

They already found you. What they find is often a homepage trying to serve all three at once, with whitening specials next to a kids' corner photo and no clear answer on insurance. Each patient type needs its own path: family patients need insurance and convenience, emergencies need a phone number and same-day availability, cosmetic patients need a consultation and confidence.

By the numbers. The Census counts 203 businesses in Plymouth County, 205 in Bristol County, 461 in Norfolk County and 327 in Rhode Island classified as offices of dentists (Census County Business Patterns, 2023). 1. 01

An overdue recall list nobody works

    LEAKING

Every practice has patients who are past due for a cleaning and have no appointment booked. Each one already trusts you, and they slip further every month. A recall system that reminds, follows up and makes rebooking easy works that list continuously instead of whenever someone finds time.

  2. 02

    Emergency calls that hit voicemail

    LEAKING

A patient with a broken tooth on a weekend calls the first practice that comes up. If it reaches voicemail with no emergency instructions, they call the next one, and that practice may keep them as a family patient for years. A clear emergency page and after-hours call handling catch that patient.

  3. 03

Insurance answers hidden behind a call

    LEAKING

Patients want to know whether you are in network before they call. When the site says we accept most insurance, they still do not know. List the networks you participate in, explain how out-of-network benefits work at your office, and say what membership or self-pay options exist.

  4. 04

Cosmetic and family on one confused page

    LEAKING

A whitening offer beside pediatric photos beside an implant banner tells nobody anything. Family patients want convenience and coverage. Cosmetic patients want proof of skill, comfort and financing. Separate pages, separate offers and separate follow-up let each one feel like the practice was built for them.

The leak that costs the most

You missed the call. Now what?

One missed call. Two endings.

  1. The front desk is checking out three patients at once. The phone rings. You cannot get to it.
  2. They hit voicemail and hang up without leaving a message.
  3. They tap the next name on Google.
  4. You see the missed call. You call back. No answer.
  5. The new patient went to whoever picked up.

An example of how it plays out, not a real customer. The text-back is part of automation for dentists.

Timing

The year, for dentists.

Dental schedules in New England follow benefits and school calendars. Late summer brings back-to-school checkups, and the end of the year brings patients trying to use their benefits before they reset. January can slow while deductibles restart. Spring is wedding prep for cosmetic cases. Summer brings vacation cancellations. Run recall pushes ahead of the busy windows, and keep emergency slots open year-round.

Where I would start

Automation for Dental Practices

A dental practice's best new revenue is often sitting in its own records: patients overdue for hygiene and treatment that was recommended but never scheduled. Recall reminders, rebooking follow-up and missed-call text back work that list every day. Do it before spending on new patients, and keep every message free of clinical details.

Questions

What dentists ask first.

Should we advertise cosmetic work separately from family dentistry?

Yes, at least on separate pages with separate offers. The two audiences ask different questions and decide on different timelines. A family patient may book within a day of finding you. A cosmetic patient may research for weeks and want a consultation first. Mixing them makes both feel like the wrong fit.

Can we show before-and-after smile photos?

Yes, with the patient's signed written authorization, which HIPAA requires for anything that identifies them, and a full face does. Your dental board may also have rules on how results are presented. Show your own work, label it honestly, and avoid implying every patient will get the same result.

What does the free audit look at for a dental practice?

The free audit searches for you the way a new patient would: insurance questions, the Google profile and reviews, your emergency instructions, the new patient booking path, and how fast someone can get an appointment. You get a plain list of where a patient would drop off and call the next practice.
