Marketing for physical therapists.

A patient with a referral in hand still chooses where to go. They pick the clinic that is close, in network and can see them soon, if your site makes that obvious.

How the work actually comes in

The honest version.

Physical therapy patients arrive two ways. A physician hands them a referral, sometimes with a clinic name on it, sometimes with nothing. Or they come direct, because they would rather skip a doctor visit and their plan allows it. Either way, they search before they call. They want to know whether you are in network, whether you have early or evening hours, and how soon they can start.

They already found you. What they find is often a clinic site written for other clinicians, full of modality names and credentials, with no answer to whether they can get in this week. The referral relationship gets you on the list. Clear answers about insurance, hours and the first visit decide whether you are the one they actually call.

By the numbers. The Census counts 78 businesses in Plymouth County, 59 in Bristol County, 135 in Norfolk County, 41 in Barnstable County, 83 in Worcester County, 184 in Rhode Island and 223 in New Hampshire classified as offices of physical, occupational and speech therapists (Census County Business Patterns, 2023). Receipt #9D393A · PHYSICAL THERAPISTS

  1. 01

A referral that never turns into a call

    LEAKING

The doctor recommends PT, the patient leaves with a printed referral, and then nothing happens. Life gets busy, the pain eases a little, or the clinic's phone goes to voicemail. When a referral source sends patients your way, the path from that piece of paper to your calendar has to be short.

  2. 02

    Nobody explains direct access

    LEAKING

Plenty of patients do not know they may be able to start physical therapy without seeing a physician first. Clinic sites rarely tell them, and when they do, they skip the part that matters: whether their insurance will pay without a referral. A plain page on how to start, with and without one, removes the hesitation.

  3. 03

Patients who stop showing up halfway

    LEAKING

Patients often drop off when they start feeling better, before finishing the plan of care. Missed visits go unrescheduled, the home program fades, and the work you planned together stops short. Reminders, rebooking nudges and clear expectations set at the first visit protect both the patient and your schedule.

  4. 04

Insurance questions answered by phone only

    LEAKING

Every new patient asks about coverage, visit limits and copays, and every one of those calls lands on a busy front desk. A page explaining which plans you are in network with, what authorization means, and how to check benefits answers a lot of them before the phone rings.

The leak that costs the most

You missed the call. Now what?

One missed call. Two endings.

  1. You are running a session. The phone rings. You cannot get to it.
  2. They hit voicemail and hang up without leaving a message.
  3. They tap the next name on Google.
  4. You see the missed call. You call back. No answer.
  5. The post-op patient went to whoever picked up.

An example of how it plays out, not a real customer. The text-back is part of automation for physical therapists.

Timing

The year, for physical therapists.

PT demand in New England tracks the calendar. Ice brings winter falls, spring and fall sports seasons bring student athletes, and summer brings people overdoing the yard and the golf course. January deductible resets can slow new starts, and December brings patients trying to finish care before benefits reset. Market direct access in the shoulder seasons, and lean on reminders when holidays thin out attendance.

Where I would start

Automation for Physical Therapy Clinics

PT depends on patients finishing the plan of care, and so does your schedule. Reminders, rescheduling for missed visits, and a fast reply when a referred patient calls protect revenue you have already earned, before you spend to find more patients. Every message stays free of health details.

Questions

What physical therapists ask first.

Should we market to doctors or to patients?

Both, but differently. Physicians want proof you communicate: timely progress notes, easy referral, a clinic their patients do not complain about. Patients want location, hours, insurance and how soon they can start. A site that serves patients well also reassures the referring office, because their staff look you up too.

Can we advertise direct access?

You can explain it, accurately. Whether a patient can start without a referral, and whether their insurance will pay for it, depends on state rules and their specific plan. Your marketing should say that plainly and tell people how to check, rather than promising they can skip the doctor. Get the details confirmed against current rules before publishing.

What does the free audit look at for a PT clinic?

The free audit looks you up the way a patient with a fresh referral would: the search, your Google profile and reviews, whether your site shows insurance, hours and how to start, and how fast someone can book. You get a plain list of where a patient would give up and call someone else.
