For chiropractors ยท Voice agents

A voice agent for the chiropractic front desk.

A reasonable fit for busy practices. New patients call at night and on weekends, and a voice agent can book them while you sleep. It cannot and should not give health advice.

What you are paying for

Voice agents.

A voice agent that answers when you are with a customer, on a ladder, or closed.

  • Answers out of hours, or when you are already on a call
  • Captures name, number, address and the problem
  • Confirms back what it heard, then texts a copy
  • Escalates emergencies to a human immediately
  • Books routine appointments where that makes sense
  • Full transcript logged against the contact
Disclosure is built in and not optional. The agent states it is automated in its opening line, and a caller can ask for a person at any point.

What I would build

For a chiropractic practice.

01Rules for what it can and cannot say

I write the rules first. It answers questions about hours, location, the insurance plans you accept and first visit logistics. It does not discuss symptoms, treatments or outcomes. Anything clinical gets routed to the office.

02New patient booking

Books routine appointments where that makes sense, like a new patient visit in the slots you set aside. It captures name, number and the reason for the visit in general terms, then confirms back what it heard.

03A copy by text, kept minimal

It texts a copy of the booking: date, time, address, what to bring. Nothing clinical goes in the text. Full transcript logged against the contact inside a tool covered for patient data.

04Emergency escalation

Escalates emergencies to a human immediately. Callers describing severe symptoms are told to seek emergency care right away, and your staff are alerted. The agent never decides whether something is serious enough to wait.

The chiropractic practice version

Why it matters.

Calls a chiropractic office misses are predictable: someone who threw out their back on a Saturday, someone comparing insurance coverage on their lunch break, a patient rescheduling while you are mid-adjustment. A voice agent answers those, books new patient visits into real openings, captures who they are and what they need, and texts a confirmation.

Its opening line discloses that it is automated, and any caller can ask for a person. It does not assess symptoms or tell anyone whether chiropractic is right for them. When a caller describes something that sounds urgent, the agent follows your rules: point them to emergency care and alert your staff immediately. The vendor also has to sign a business associate agreement.

The mistake I see

Letting the agent answer clinical questions

It is tempting to load the agent with your FAQ about conditions you treat, so it sounds knowledgeable. That is how an automated system ends up giving something close to medical advice on a recorded line. Keep it to logistics: booking, insurance, hours, what to expect. When a caller asks whether you can help with their condition, the honest answer is that the doctor will discuss it at the visit.

How it goes

For a chiropractic practice, step by step.

→ Keep scrolling. It moves sideways.

  1. Write the rules

What counts as an emergency, and who it goes to.

  2. Build and constrain

It reads from your data. It does not improvise prices.

  3. Test it badly on purpose

Angry, panicked, noisy, strong accent, interrupting. That is how real calls arrive.

  4. Go live out of hours first

The lowest-risk window, and where most of the value is anyway.

  5. Step five is you.

Questions

What chiropractors ask.

Does a voice agent comply with HIPAA?

It can be set up to, but compliance depends on the vendor, the contract and how the data is handled, not on the agent itself. The vendor has to sign a business associate agreement, transcripts have to live in a covered system, and texts have to stay minimal. If a vendor will not sign, I do not use it for your practice.

Will patients be put off by an automated answer?

Some will ask for a person, and the agent hands them off or takes a message. Plenty would rather book at night than wait until morning to reach someone. The agent states it is automated up front, so nobody feels tricked. Start with after-hours calls only and see how patients respond before expanding.

What if a patient calls in severe pain?

The agent does not judge severity. It treats descriptions of severe or unusual symptoms as urgent: it tells the caller to seek emergency care if needed and alerts your on-call contact immediately. Your office decides the rules for who gets alerted and how. The agent follows them and logs what was said.
