For property managers ยท Voice agents
Voice agents for property managers.
After-hours maintenance calls are where a voice agent earns its place. It answers, says it is automated, logs the issue and gets true emergencies to your on-call person right away.

You vs. John Doe Property Management.
Left is what a missed call does to you today. Right is John Doe Property Management and their voicemail. Drag the line, then hit the button.
Crickets on the left. That is the problem.
They called the next name.
"Hi, you have reached John Doe Property Management. Please leave a message after the beep."

What you are paying for
Voice agents.
A voice agent that answers when you are with a customer, on a ladder, or closed.
- Answers out of hours, or when you are already on a call
- Captures name, number, address and the problem
- Confirms back what it heard, then texts a copy
- Escalates emergencies to a human immediately
- Books routine appointments where that makes sense
- Full transcript logged against the contact

What I would build
For a property management company.
What counts as an emergency for your portfolio, like no heat in winter, active leaks, no water, lockouts or a gas smell, and who gets the call. The agent escalates and never judges severity alone.
Captures name, address, unit, callback number and the problem, confirms it back and texts a copy. A full transcript is logged against the contact for your team in the morning.
Answers basic questions on available units from your listing data: rent, availability and how to see it. Books showings where your calendar allows and never improvises terms.
I start with nights and weekends, the lowest-risk window and where a manager gets the most value, then you and I decide together whether daytime overflow makes sense.
The property management company version
Why it matters.
At night, one tenant calls about a dripping faucet, another about a chirping smoke alarm, a third about water coming through the ceiling. Your on-call person should only be woken for the third. A voice agent captures name, unit, phone number and the problem, confirms it back and texts a copy, then escalates anything urgent to a human immediately.
The agent works from your rules and your data. It does not promise when a technician will arrive, approve repairs or discuss rent disputes. It answers leasing questions from the same listing data for every caller. It states it is automated in the opening line, and any caller can ask for a person.
The mistake I see
Using an agent to deflect tenants
A phone tree that loops tenants without ever reaching a person turns a leak into a one-star review. Agents built to keep tenants away from staff fail exactly when it matters. The agent I build is there to capture and route: routine requests get logged, emergencies get a human, and anyone who asks for a person is put through or promised a callback.

Write the rules
What counts as an emergency, and who it goes to.
Build and constrain
It reads from your data. It does not improvise prices.
Test it badly on purpose
Angry, panicked, noisy, strong accent, interrupting. That is how real calls arrive.
Go live out of hours first
The lowest-risk window, and where most of the value is anyway.

Questions
What property managers ask.
Can we use an automated agent for leasing calls?
I am not your lawyer, so check specifics with counsel. The agents I build disclose they are automated at the start of every call and answer every caller from the same listing information. They do not screen applicants or make judgments about who should rent. Applications and screening stay with your team.
What if the agent treats an emergency as routine?
The emergency rules are deliberately broad, so the agent escalates when in doubt. I test with panicked, angry and noisy callers before launch. Transcripts are logged and reviewed, and every miss tightens the rules. Your on-call person can also see every logged call, not only the escalated ones.
Will owners see the transcripts?
Only if you choose to share them. Transcripts are logged against the contact in your system. Some managers forward them to owners as proof of when an issue was reported, which can settle arguments about response times quickly.
What comes after
Pairs well with.
A lot of what goes wrong in property management is follow-up: a request nobody acknowledged, a showing nobody confirmed, an owner who never heard back.
